The Challenge
A multi-provider medical office in Oakland County needed to bring its security in line with the sensitivity of what it handles. Patient records, sample medications, and expensive equipment were protected by little more than standard door locks and a few aging cameras near the entrance. Any staff member could reach the records room and med storage, there was no log of who entered those areas, and after hours the building relied on a basic alarm with no camera coverage of the sensitive spaces.
The practice manager wanted controlled, logged access to records and medication storage, camera coverage planned around patient privacy, and real after-hours protection — all without slowing down clinical staff during a busy day.
The Solution
After an on-site walk-through, we designed access control that restricts the records room, medication storage, and back-office areas to authorized staff only — each with a badge or mobile credential, and every door event logged to a person and a time. Clinical staff move through their day exactly as before; the difference is that sensitive areas are now controlled and accountable.
We planned camera coverage carefully to protect patient privacy — covering entrances, hallways, the waiting area, and parking while avoiding exam rooms and other HIPAA-sensitive spaces. We reviewed placement with the practice manager before installing. For after hours, we added intrusion detection with 24/7 monitoring covering the pharmacy and record areas, so the most sensitive parts of the office are protected when the building is empty. Every cable and device was installed by our own licensed, background-checked W-2 technicians — never subcontractors — which mattered to a practice handling protected information.
The Result
Access to records and medication storage is now restricted and fully logged, giving the practice a clear audit trail of who entered sensitive areas and when. Camera coverage protects the office and its parking areas while respecting patient privacy, and after-hours monitoring protects the pharmacy and records when the office is closed.
The whole system went from assessment to go-live in under three weeks, with no disruption to patient care. The practice manager now has a security posture that matches the sensitivity of the work — and the documentation to show for it.
